Receiving, Transferring, Adjusting and Disposing Stock

Four actions on the Stock page change how much you have: receiving new stock, transferring it between locations, adjusting it to a counted quantity, and disposing of stock that is damaged or expired. Each one writes an entry to the movement ledger, and the ledger entry cannot be edited afterwards.

Before you start

  • The item must exist in the Catalog and be active, and the location must exist and be active.
  • Each action shows only if your role includes its permission. If you can see the Stock page but none of the forms, you can view stock but not change it.
  • Quantities must be greater than zero, except an adjustment, where the counted quantity can be zero.

Steps

  1. Open Inventory, then Stock, and choose a Location. The forms appear under Record a movement.
  2. To add stock, open Receive stock. Choose the item, the location and a quantity in Qty, then select Receive. The quantity is added to the on-hand figure.
  3. To move stock, open Transfer between locations. Choose the item, the From location, the To location and the quantity, then select Move. The two locations must differ, and the quantity cannot exceed what is available at the source. Available means on hand minus reserved.
  4. To correct a quantity after a count, open Adjust to counted quantity. Choose the item and location, enter the number you counted in Counted, and optionally a date in the date field (leave it empty for today) and a Reason. Select Adjust.
  5. To write off damaged or expired stock, open Dispose (damaged / expired). Choose the item and location, enter the quantity and a Reason, and select Dispose.
  6. After any of these, a Movement posted. message appears. Open Ledger to see the entry.

How each action behaves

  • Adjust sets on hand to the counted number. ServiceVisit works out the difference and records it as an increase or a decrease. If the counted number equals the system number, no movement is recorded and only the last-counted time is updated. If the new on-hand figure is below the amount reserved, the reserved figure is lowered to match.
  • A date entered on an adjustment dates the movement to the day the shelf was counted, which matters when you key the count in later.
  • Dispose cannot exceed what is on hand. It also releases any reservation up to the quantity disposed.
  • The Receive and Transfer forms do not have a reason field.

Tips

  • Use Adjust for a single correction. For a full shelf count with several items, use a count instead; see the counting guide.
  • The ledger lists only the most recent movements, so filter by item or location to narrow it down.
  • To load many opening balances at once, use the stock import.

If something goes wrong

  • "Insufficient available stock" on a transfer means some of the stock is reserved for a work order. Return the reservation or transfer less.
  • "Insufficient on-hand stock" on a dispose means you are disposing of more than is on hand at that location.
  • Inactive items do not appear in the item list, because the Stock page offers active items only.
  • If the page says to choose a location, select one in the Location box first.
