Declaring Your Own Working Days and Time Off
Every technician can record when they work. You set the days you normally work and the hours you start and finish, and you add dated exceptions for time off, a half day or an extra shift. These changes take effect straight away and nobody has to approve them. The page is laid out to be used from a phone, because changes usually come up while you are out on a job.
Before you start
- You need access to your own availability. If My Availability is not among the Schedule tabs, ask whoever administers your account.
- Your hours are used by the people who schedule your work and, if your business has turned on customer-picked times, by online booking. Customers are never told why an hour is unavailable.
Steps
Set your regular week:
- Open Schedule, then the My Availability tab.
- Open The days I normally work.
- Tick each day you work and set the start and end times. Untick a day you do not work.
- Select Save my working days.
Each working day has to start before it ends. If it does not, the page says "Each working day has to start before it ends." and nothing is saved. When the save works you see "Your working pattern is saved."
Record a day away or different hours:
- On the same page, find Days I am away.
- Choose the Date.
- Leave Away all day ticked for a full day off. To work different hours instead, untick it and fill in Working from and Working until.
- Add a Reason if you like. It is optional, only your provider sees it, and customers are never given a reason.
- Select Save.
Under the form, the list shows what is coming up in the next 90 days. If there is nothing, it says "Nothing coming up in the next 90 days."
To undo an exception, select Remove beside it. You see "Removed. Your usual hours apply again on that date."
Tips
- An extra shift is just an exception with Away all day unticked and the hours you will work.
- Saving an exception over a day that already has work booked is allowed. The page tells you how many scheduled jobs fall outside the new hours, for example "Saved. 2 scheduled job(s) fall outside these hours." Nothing is cancelled.
- A panel headed Scheduled outside your hours lists any jobs booked outside your declared hours. Select a job number to open that work order.
- If your role also lets you see the team, a link reading View the whole team's availability appears at the top of the page.
If something goes wrong
- If you see "Your working pattern could not be saved. Please try again." or "That change could not be saved. Please try again.", wait a moment and repeat the save.
- If "Your availability could not be loaded. Please try again." appears, reload the page.
- If a job still sits on a day you now have off, tell the person who schedules for you so they can move it. See the guide on how availability affects scheduling.
