Letting Customers Pick a Time You Can Deliver

By default, online booking asks a customer for a preferred date and time and holds nothing on your calendar. You can instead let customers pick an arrival hour from times your team can actually cover. This guide explains how those hours are worked out and how to turn the feature on for a location.

Before you start

  • Customer-picked times are shown in the website booking panel. The page customers reach from your link or QR code asks for a preferred date and time.
  • Viewing availability needs permission to view team availability. Turning it on and editing working days needs permission to manage team availability.
  • At least one technician must be assigned to the location, and at least one service must be offered online.

How an hour is offered

An hour appears only when all of these are true:

  • The location is open then. Hours come from the location's business hours, and holidays and operating exceptions close it.
  • The hour starts on the hour, is at least the minimum booking notice from now, and falls inside the booking horizon.
  • At least one technician is free for the whole job. The job length is the service's duration, rounded up to whole hours. The technician must work that day, have no time off, hold every required trade, and have the whole job inside their working hours.
  • Nothing else overlaps once the appointment buffer is added before and after. Scheduled work orders, assessments, and online requests already holding that technician all count.

The customer sees only the hour. Who is free, and why an hour is closed, is never shown. When a customer chooses an hour, one free technician is held for it, so two customers cannot take the same technician at the same time. If someone else takes it first, the customer is told that time is no longer available.

Steps

  1. Open Settings, then Locations, and edit the location. Under Booking Policies, set Appointment Buffer (minutes), Minimum Booking Notice (hours) and Booking Horizon (days). Business hours are set above them.
  2. Open Schedule, then Team Availability. Technicians who have not declared working days are listed as Not declared yet; use Set hours or Change to enter them, then Save the technician's working days.
  3. Under Let customers pick a time online, find the location. Read any listed blockers.
  4. Select Turn on. Select Turn off to go back to preferred times at any time; turning off is never blocked.

Tips

  • Each technician can also set their own days and time off under My Availability.
  • The lines under a location name which services are Absent from online booking here and which are open to any schedulable technician.
  • Turning a location on does not cancel work; jobs booked outside declared hours are listed on the page for you to reschedule.

If something goes wrong

  • If Turn on is disabled, a blocker is listed: no technician assigned to the location, no technician with declared working days, no service offered online, or no service with an eligible technician.
  • If a date shows no hours, check notice, horizon, holidays, time off and the buffer.
  • If a service is missing from the panel, check its required trades against what your technicians hold.
