Recording Findings and Choosing an Outcome
On site, the technician starts the assessment, describes what they found, adds photos, and then completes the visit by choosing a result. Walter AI can help draft structured details and a diagnosis, but it never decides anything for you. This guide follows that path from arrival to completion.
Before you start
- You need permission to record assessment outcomes. Without it the buttons below do not appear.
- The assessment must be scheduled or in progress. Completed and cancelled assessments cannot be continued.
- Walter AI features are tied to your plan. If your plan does not include them, they report an error and the rest of the page works normally.
Steps
- Open the assessment and select Begin Assessment. This starts the visit and takes you straight to the capture page. If the visit has already started, the button reads Record Findings, or Continue Assessment once a finding exists.
- Under What did you find?, describe the problem in Findings detail. This is the only required field.
- Optionally add pictures with Add Photo. Photos are resized before upload, and a failed upload can be retried from its thumbnail.
- Optionally fill in Suggested work with the work you recommend. Pricing comes later on the estimate.
- Select Save & review, or Save & add another to record another finding first.
- On Review & complete, check What the customer will see. Findings not shared appear under Kept internal.
- Under What happens next?, choose a Visit result and select Complete assessment.
Visit results
The choices are Resolved Onsite, Estimate Required, Work Order Required, Follow-Up Required, Parts Required, Customer Declined, Escalated Internal, Referred External and No Issue Found. Choosing a result records what you found. It does not authorize work, and pricing is handled when an estimate or work order is created.
Advanced details
Open Advanced details only when you need more than the narrative. It holds Finding summary, Finding type, Severity, System, the Show this finding to the customer checkbox, Equipment this finding concerns, Nameplate details, Observations / symptoms and Measurements. Visible findings are shared with the customer.
Walter AI help
- Draft from notes reads your findings detail and proposes observations, measurements and nameplate details. Select Use this to add one, or dismiss it. Nothing is recorded until you save.
- Get Diagnosis returns a Walter AI Analysis with a diagnosis, recommended parts, tools needed and next steps. It needs findings text and finished photo uploads.
- Use the thumbs up or down under Did Walter help? to rate the answer.
Tips
- If you leave the capture page with unsaved text, the page offers to restore it as We restored your unsaved notes.
- Completing needs at least one recorded finding. With none, the review page shows Nothing recorded yet.
- Review & Complete on the overview page opens the same review step.
If something goes wrong
- If a finding will not save, make sure Findings detail is not empty.
- If Draft from notes says Walter found nothing specific, add more detail to the notes.
- If the review page says the assessment can no longer be completed, it is already finished or cancelled.
