How Assessments Work

An assessment is a visit to look at the work before a price is committed to. It belongs to a Job, is carried out by a technician on site, and can carry a fee. When the visit is finished the technician records what they found and chooses a result, and the findings can then be turned into an estimate. This guide shows how the pieces fit together and which guide covers each one.

Before you start

  • Opening the list and any single assessment needs permission to view assessments. Without it the Assessments entry does not appear in the menu.
  • Each of the actions below needs its own permission, covered in the guide for that step. A page you can open may still hide a button you cannot use.
  • An assessment is optional. A Job can go straight to an estimate or a work order without one.

Steps

  1. Open Jobs, then Assessments, to see every assessment. Each card shows its status, the scheduled time, the Job title, the customer, the Property, the Assessment Fee and the fee status.
  2. Select a card to open the assessment. The top of the page shows the visit status and the fee status, then the facts Scheduled, Fee, Findings, Photos & Files and Outcome.
  3. Schedule a new assessment from the Job, not from this list. See the scheduling guide.
  4. On the day, the technician selects Begin Assessment, records findings, and completes the visit with a result. See the findings guide.
  5. Deal with the fee using Invoice Assessment Fee or Waive Assessment Fee, or let it be credited on the estimate. See the scheduling and estimate guides.
  6. Once the assessment is complete and has findings, select Generate Draft Estimate.

What the overview page shows

Below the header the page lists Intake Notes, the Findings recorded so far, a Time section when travel, on-site or work time was recorded, and an Evidence list of attached photos and files. Findings marked not visible to the customer carry an Internal label. The right-hand side holds Fee Actions, Estimate Generation, and, while the assessment can still be ended, a Cancel this assessment panel.

What the customer sees

Findings a technician leaves visible to the customer appear in the customer's account under My Findings Reports, described there as assessment findings shared by their service providers. Findings kept internal never appear.

Tips

  • The page decides which buttons to show from the assessment's current status. If a button you expect is missing, check the status badge first.
  • A completed or cancelled assessment cannot be continued. To carry on the diagnostic work for the Job, create a new assessment.
  • Plan availability: assessment viewing, scheduling, findings, invoicing and waiving are included on every plan.

If something goes wrong

  • If Assessments is missing from the menu, your role lacks permission to view assessments.
  • If the list is empty it shows No assessments scheduled. Assessments are created from a Job.
  • If an assessment page says it could not be loaded, go back to the list and open it again.
