Advanced Analytics, Cycle Time and Labor Efficiency

Advanced reporting adds deeper pages to the Reports section so you can see how work flows through your business and how your technicians spend their time. This guide covers the Advanced Analytics page, the Cycle Time report, the Labor Efficiency report, and the historical workload view on Overview and Performance. These pages are included on the Growth and Scale plans.

Before you start

  • Your plan must include Advanced reporting, and your role must be allowed to view advanced analytics.
  • Cycle Time and Labor Efficiency also need the basic right to view reports. If you have only one of the two rights, the menu hides these pages.
  • The numbers come from completed work orders. A new account with no completed work shows empty states until work is finished.

Steps

  1. Open Reports in the sidebar. The sub-menu lists the pages you can open.
  2. Choose Advanced Analytics to see a total for jobs, completion rate, customers and revenue, a Jobs Over Time chart, a Work Classification Distribution chart and a Technician Performance list. Pick Week, Month, Quarter or Year at the top to change the period.
  3. Choose Cycle Time to see how long completed work orders take from start to finish. Use the date range selector (Last 7 days, Last 30 days, Last 90 days or Last 12 months). The cards show Avg cycle time, Finalized records and Granularity. The Work-order cycle time chart plots the average hours per period, and Finalized work by trust level charts finalized service records over the same range.
  4. Choose Labor Efficiency and pick a date range. The top cards show Technicians, Total logged, Billed labor and Avg effective rate.
  5. In the Technician breakdown table, read each row for visits, logged hours, average time per job, Vs. schedule, billed labor, effective rate and the labor rate on file. Select the arrow at the end of a row to see job time, travel, admin and breaks.
  6. Below the table, Duration by comparable visit groups similar visits by service offering, work classification, visit and urgency, with median scheduled and onsite times.
  7. On Overview and Performance, the historical location workload section appears when you have advanced analytics. It shows scheduled work by location as it stood when each work order was scheduled, next to the live view.

Tips

  • Use Labor Efficiency to spot a technician whose visits regularly run longer than the appointment window. The Vs. schedule column shows "As scheduled", a percentage longer, or a percentage shorter.
  • Effective rate is billed labor divided by logged hours. It uses only approved working time on completed work orders.
  • A cohort or technician with few comparable visits is labelled as an early sample. Treat those figures as a first look rather than a pattern.
  • To take the numbers into a spreadsheet, see the guide on exporting report data.

If something goes wrong

  • If Cycle Time or Labor Efficiency is missing from the menu, ask the person who manages users in your business to check your reports rights, or ask about your plan.
  • If a page says it could not load, refresh it and try a shorter date range.
  • If Labor Efficiency says there is no completed work, complete work orders and approve time entries for the period you chose.
  • If the cycle time chart is empty, no work orders with recorded start and end times were completed in the range.
