States You Collect In and Tax Registrations
Two pages under Settings record facts about your business for tax. States You Collect In records states where you have determined you have no obligation to collect, so work there is invoiced without sales tax. Tax Registrations keeps your permit or account numbers. Neither page decides your obligations. ServiceVisit records exactly what you enter and applies it, so confirm your position in each state with a tax professional first.
Before you start
- Both pages are under Settings and need access to configure tax.
- On Tax Registrations, nothing you enter changes what customers are charged. Charges come from your zones and rates. Leaving the page empty never stops tax being calculated, and filling it in never starts it.
Steps
To record a state with no obligation:
- Open Settings, then States You Collect In.
- Under Record a state, enter the State as two letters.
- Set Applies from and Applies until if the dates matter. Leaving Applies from empty applies to all work. Set an end date when you know an obligation will start.
- Optionally fill in Why (optional) and Notes (optional). The reason is stored as written and is not checked.
- Select Record it.
To record a permit:
- Open Settings, then Tax Registrations.
- Under Record a permit, enter the State, choose the Level, and enter the Permit or account number.
- For a local permit, fill in County (if a county permit), City (if a city permit) or District (if a district permit).
- Add the Issuing authority, choose How often you file, and set Registered from and Until if known.
- Select Save permit.
Tips
- A recorded state shows In force or Not in force. To stop one applying from today, choose Withdraw, which keeps the history. Remove is meant only for a record made in error.
- A permit shows Active or Closed. If a permit simply expires, choose Close, which keeps the history. Remove deletes the record entirely.
- States where you have rates set up are listed at the top of States You Collect In.
- Recording a state is different from answering No to collecting sales tax at all, which is on Tax Rates.
- A permit number is not checked with any authority, and holding a permit is not the same as having an obligation to collect.
If something goes wrong
- If an invoice for work in a state cannot be issued, there is no zone for that state. The product does not guess a rate and does not quietly charge nothing. Add a zone and rates, or record the state here if that is your determination.
- If a record was entered in error, use Remove; otherwise use Withdraw or Close.
- If a form shows an error beside a field, correct it and save again.
