Reading the Tax Filing Report
The Tax Filing Report shows the tax you charged over a period, split by tax authority, so the person preparing your returns has the figures. ServiceVisit reports what you charged, refunded and credited. What you owe, which return it goes on and when it is due are between you and each authority, so confirm them with a tax professional.
Before you start
- Open Money, then Tax Filing Report. You can also reach it with the Filing report button on the Tax Rates card.
- Viewing the report needs access to view tax settings. Recording that a period was filed needs access to configure tax.
- The figures come from what was frozen on each invoice when it was issued, so a period you have already filed reads the same however your rates change afterwards.
Steps
- Enter Period start and Period end, then select Show period.
- Read the summary cards: Tax collected, Net tax owed, Exempt sales and Invoices. Tax collected notes any amount less refunded or credited.
- In By authority, each line is one authority's return. Columns show the filing code, rate, gross sales, non-taxable, taxable, tax collected, refunded, credited and net owed, with a total row.
- If customers with exemption certificates were involved, Exempt sales lists them separately by exemption type. These are kept apart from the non-taxable column, which is work that was never taxable.
- Select Export CSV to download the period on screen.
- To record that you filed, use Filing record. Add a Note (optional) and select Close this period, then confirm.
Tips
- Closing a period changes no figure and removes nothing. If the period was already closed, the button reads Record an amendment, and the earlier filing stays listed, marked Amended, beside the Amendment.
- A warning box can appear above the table. It reports refunds or credits that covered only part of an invoice, in which case the tax given back is split across authorities in proportion to what each was charged, so check that split before filing. It also reports invoices voided in the period, which are not counted, and authority lines with no filing code.
- Add a missing filing code on the Tax Rates page and it appears here next time.
- A credit given to a customer's account reduces no sale, so it gives back no tax and does not appear.
If something goes wrong
- If the page says no tax was collected, there were no invoices with tax in the period you chose.
- If totals differ from your invoice list, read the warning box; voided invoices and partial refunds are the usual reasons.
- If Close this period does not appear, your role can view the report but not record filings.
