Sending a Plans & Packages Proposal

A proposal is how you offer a published package or service plan to one customer for one Property. Saving a proposal freezes the price, the benefits and the agreement from the offering version, so the customer is offered exactly what you reviewed. This guide covers composing and sending a proposal, tracking it, and withdrawing, resending or reissuing it.

Before you start

  • The offering needs a published version, and that version needs a published agreement.
  • The customer needs a primary email on file, because the proposal is emailed to them.
  • The customer needs a Property with an active relationship to you.
  • Choosing a customer needs access to customer records. Sending needs permission to publish bookable services; without it you can save a draft for someone who has it.

Steps

  1. Open Money, then Proposals, and select New proposal.
  2. 1. Customer: search by name, phone or email (two or more characters) and pick the customer.
  3. 2. Property: pick the Property the proposal is for.
  4. 3. Offering: choose a Published offering version and select Preview. The preview shows the price, the billing schedule for a plan, the benefits and the agreement the customer will accept.
  5. 4. Terms: for a package, set Number of packages. Enter the Tax statement, How the customer pays, Starts (UTC date), an optional Ends (optional) date, and Proposal expires (end of this UTC date). The expiry defaults to 30 days out.
  6. Select Save as draft to review it first, or Create and send to send it straight away.
  7. From a draft, open Details and select Send to customer when you are ready.

What the proposal records

The price, benefits and agreement are frozen from the offering version. Tax is calculated when you save, from the Property's address and your tax settings, the same way an invoice is. The detail view shows the customer, Property, offering and version, subtotal (per cycle for a plan), tax, total, how the customer pays, dates, the agreement adopted, what is included, and a history of every step.

Tracking and changing a proposal

The list on Proposals can be filtered by type and status. A proposal moves through Draft, Sent, Viewed, Accepted, Converted, Declined, Expired and Withdrawn. The timeline column shows when it was created, sent, viewed and accepted, and when it expires.

  • Resend is offered while it is Sent or Viewed.
  • Withdraw is offered on a draft, Sent or Viewed proposal. You must give a reason, which is recorded in the history, and the customer can no longer accept it.
  • Needs reissue appears if your tax settings changed so that the tax on the proposal no longer matches. The customer cannot accept it as sent. Use Reissue with current tax; the customer gets a replacement with the same terms and accepts it afresh. The old one is marked Replaced by reissue.
  • If a customer accepted but the purchase or enrollment was not created, the proposal shows Purchase not created or Enrollment not created. Use Retry purchase or Retry enrollment.
  • A proposal past its expiry date shows Past expiry until it is marked Expired.

What the customer sees

The customer is emailed and finds the proposal under their service proposals. They see your business name, the offering, price, tax, included benefits, dates, payment arrangement and the full agreement, and they can accept or decline. Opening a Sent proposal marks it Viewed.

If something goes wrong

  • If you cannot send, check that the customer has a primary email and a Property.
  • If the offering list is empty, no version is published yet.
  • If a field is rejected, read the message; the expiry date must be after the start date.
