Plans & Packages Overview

Plans & Packages lets you define reusable offerings that a customer buys once or subscribes to, send a customer a proposal for one, and have the customer's acceptance create the purchase or enrollment for you. This guide explains the two kinds of offering, the path from offering to enrollment, where each part lives in the app, and who can do what.

Before you start

You need at least one bookable service in your catalog, because the visits an offering includes are tied to a service. You also need a published agreement, because every offering version must name the agreement the customer will accept. The customer you propose to needs a primary email and a Property with an active relationship to you.

Steps

The journey has five stages, and each has its own guide.

  1. Build the offering. Open Money, then Plans & Packages. The tabs are Plan offerings, Package offerings and Agreements. Create an offering, add a draft version with its price and benefits, and choose its customer agreement. See the guide on benefits.
  2. Prepare the agreement. On the Agreements tab, save the terms as a draft version, then publish it. Publishing freezes the exact text. See the guide on agreements.
  3. Publish the offering version. Use Publish version on a draft. Only a published version can be proposed to a customer.
  4. Send a proposal. Open Money, then Proposals, and choose New proposal. Pick the customer, the Property and the published offering version. Saving freezes the price, benefits and agreement. See the guide on proposals.
  5. The customer accepts. Acceptance creates a package purchase or a service-plan enrollment. Follow it under Enrollments & Purchases, and read results under Offering Performance. See the guide on enrollment.

How packages and plans differ

A package is a one-time purchase. The customer buys a stated number of packages at one price, and the purchase holds a fixed set of included visits. When accepted, ServiceVisit creates the purchase and a sale invoice for it. The purchase starts as pending activation and becomes usable once the sale total is fully paid. A package can be paid in full or through an installment plan.

A service plan is a recurring commitment. Its version sets a price per cycle, a billing schedule (weekly, every two weeks, monthly, quarterly, semi-annually or annually), the number of initial cycles, whether it is a fixed commitment or an open-ended subscription, how it renews, and what happens to unused benefits. Acceptance creates the enrollment and a recurring billing schedule that starts on the proposal's start date.

Who can do what

Access follows your role, not a separate setting for this feature.

  • Viewing the offerings and agreements needs permission to view the service catalog or to view estimates.
  • Creating offerings and copying them needs permission to create bookable services. Editing drafts needs permission to edit them.
  • Publishing or retiring an offering version, and sending, resending, withdrawing or reissuing a proposal, needs permission to publish bookable services.
  • Creating, publishing and retiring agreements needs permission to manage estimates.
  • Seeing the Enrollments & Purchases list needs permission to view invoices. Pausing, resuming and cancelling needs permission to create invoices.

If your role cannot do something, the control is hidden or you are shown a message naming who administers users.

What it does not do

Accepting a proposal does not by itself confirm a payment, and it does not start service. Each benefit is limited to the quantity and scope you listed; a dollar allowance, for example, is drawn down only against the service, pricebook item or work classification you chose for it. Paid value that was not used is returned from the customer's Billing tab, either as a refund to the original payment method or as a release to customer credit. A package that is paid over time is tied to an installment plan, which is a separate feature.

If something goes wrong

If a page says it could not be loaded, refresh it. If a control you expect is missing, check with the person who administers roles on your account.
