Agreements for Plans & Packages

An agreement is the written terms a customer accepts when they accept a package or service-plan proposal. You keep your agreements in a library, publish a version when the wording is final, and choose that published version on each offering version. This guide covers the library, how versions work, and how an agreement becomes part of a proposal.

Before you start

You need permission to manage estimates to create, publish, withdraw, activate, retire or copy an agreement. Permission to view the service catalog or estimates lets you see the library.

Steps

  1. Open Money, then Plans & Packages, and choose the Agreements tab.
  2. Under Create agreement, enter an Agreement name and select Create agreement. It is saved as a draft.
  3. Under Add agreement version, choose the Agreement, enter a Version name (up to 50 characters, for example a month and year) and the Terms, then select Save draft version. Saving creates an editable draft.
  4. Open the version to read the Preview. While it is a draft, change it with Save draft changes.
  5. Select Publish version. Publishing freezes this exact text.
  6. If the agreement itself still shows Draft, select Activate. Activate appears once the agreement has a published version.
  7. Attach it to an offering. On a draft offering version, open Edit version details and pick the agreement under Customer agreement. Only published versions are listed.

Versions are fixed

A published version never changes. To revise the wording, add a new version, publish it, and then use it on a new offering version. An offering version records the exact agreement version and a hash of its text when you save it, so the agreement a version points to cannot drift.

A proposal freezes that same version when it is saved. The customer reads and accepts those exact terms, and your proposal list shows the agreement name and version label, whether it has been accepted and when, and the start of the text hash. The agreement for a proposal is set by its offering version. To use a different agreement, publish a new offering version that names it.

Changing or ending an agreement

  • Withdraw removes a published version from use. Proposals already bound to it keep their exact terms.
  • Retire ends the agreement. Existing acceptances remain unchanged. A retired agreement cannot take new versions.
  • Copy agreement creates a new draft agreement named with "copy" that carries the text of the most recently published version as a draft version.

Tips

  • Name versions so you can tell them apart in the offering picker, which shows the agreement name and the version name together.
  • For a service plan, you can set renewal and unused-benefit treatment to Defined by agreement. The agreement text then has to state that treatment, so write it in.

If something goes wrong

  • If an agreement does not appear when you edit an offering version, its version is probably still a draft or was withdrawn. Publish a version first.
  • If a button is missing, your role may not include managing estimates.
