Tasks Overview
Tasks is a lightweight list of follow-ups and operational work for your business, such as calling a customer back or chasing a signed estimate. A task has a title, notes, a priority, an optional assignee, an optional due date and reminder, and optionally a link to a customer, Property, job or other record. This guide explains where tasks appear and how to find the ones you need.
Before you start
Tasks is included in every plan. What you can do inside it depends on your role. Seeing the Tasks page needs permission to view tasks. Creating tasks needs permission to create them, changing any task needs permission to manage tasks, and giving a task to another person needs permission to assign tasks. If you lack permission to view tasks, the Tasks item does not appear in the menu.
Steps
- Choose Tasks in the main menu. The page subtitle reads "Track follow-ups and operational work across your business."
- Narrow the list with the filter bar above the table:
- Status offers Open, Completed, Canceled and All. It starts on Open.
- Assignee offers All assignees or one person on your team.
- Due by takes a date and shows tasks due on or before the end of that day.
- My Tasks shows only tasks assigned to you.
- Overdue shows open tasks whose due time has passed.
- Show sets the page size to 10, 25, 50 or 100.
- Choose Apply. The filters do not run until you do.
- Read the table. Its columns are Task, Assignee, Due, Priority and Status. Unassigned tasks read "Unassigned", tasks with no date read "No due date", and an open task past its due time is marked Overdue.
- Choose a task title to open it. Use Previous and Next under the table to move between pages; the footer shows the total number of tasks and the current page.
Where else tasks appear
- Provider Home lists up to ten of your own open tasks among the items needing attention, each showing its due date, whether it is overdue, any reminder time, and "Customer task" when it is linked to a customer. Overdue and urgent tasks are flagged most strongly, high priority next. Home also has a Tasks shortcut that opens the Tasks page with My Tasks already ticked.
- A customer's record has a Tasks tab with the same filters and columns, limited to that customer, and a Create Task button there starts a task already linked to the customer.
Tips
The list is ordered by due date, with undated tasks last. Ties are broken by priority, with Urgent first, then High, then Normal. To see everything someone completed, set Status to Completed or All.
If something goes wrong
If the page shows "Tasks could not be loaded. Check the filters and try again.", check the filter values and choose Apply again. If Home shows "Tasks could not be checked", open Tasks or refresh Home. "No tasks match these filters." means nothing fits; widen Status or clear the other filters. If Create Task is missing, your role cannot create tasks.
